PEP in an electronic environment

Background

Statistics indicate that the average office worker is under increasing pressure from his or her electronic work environment. Some studies have shown that office workers in some industries send and receive up to 160 emails every day.

Over the last three years, email has become the preferred way of office communication, overtaking the paper memo, leaving the telephone call far behind, and in some cases even replacing the personal visit. Unfortunately workers are not shown how to manage the steps of processing e-mails effectively, and this omission can impact heavily on the work of individuals and their teams.

Ultimately, productivity and effectiveness is about getting things done and achieving results. The emphasis of the ePEP program is on delivering and accomplishing practical, easy-to-use action programs that ensure that the job gets done and the results are achieved.

Learning how to handle an email and progress it by taking it to the "next logical" step reduces double handling and saves time.

How the program helps

ePEP participants learn how to improve their productivity and efficiency by increasing their skills in, and maximising the use of, their email system. 

ePEP is a personalised program conducted “one-on-one” with teams using their own email, calendar and electronic storage systems.

ePEP has been designed to help participants take full advantage of the benefits of the PEP program by applying the same principles to their computerised environment.

The program develops the skills of efficiency (getting things done with the least amount of effort) and effectiveness (doing the right things).

PEPworldwide’s unique hands-on approach means that the majority of time is spent working one-on-one with participants, learning how to shortcut the issues that can impede productivity.

Participants will learn all the shortcuts, tips and tricks for getting the job done quicker and more effectively.

Who is the program for?

The program is intended for anyone who has completed the standard PEP program. The sound information–handling principles and practices set up during the initial PEP program are essential for quick take up of practices in the electronic environment.

While Outlook is the most popular email handling program, PEPworldwide will adapt the program for those who work in a Lotus Notes or GroupWise environment.

Program structure

  • This one-day program consists of a three-hour practical workshop in the morning and an afternoon at the workplace receiving individualised coaching
  • During the afternoon the facilitator works with each participant, helping them setting up their computers and applying the principles discussed in the morning workshop, that is using Outlook to:
    • categorise and organise computer document files
    • customise computer desktop for easy access 
    • organise email for easy retrieval 
    • use electronic calendars and scheduling 
    • delegate tasks electronically and track progress from any number of individuals or team members 
    • project plan electronically, and 
    • computerise address book and contact lists.

The effect of successful implementation of ePEP will be that participants will go a long way towards avoiding information overload

Group size

Maximum six participants per course.

If the company has a dedicated computer room where participants can log on to their own documents, the maximum size is 10 participants.

Duration

  • The program is one full day 
  • Half-day coaching follow up four weeks after the first day is an option which can be built into a highly reactive electronic environment.
